"Safety is one big hill that your team must climb each day. Let Site App Pro help you by making it easier."
- Tristan Bailey, Business Director
Vision Systems was founded in 2007 by Tristan Bailey and Darren Johnson, two professionals in the electronic security industry who “had a desire to provide clients with a much higher standard of service delivery than many were experiencing at the time.”
From humble beginnings, the company has grown to employ over 70 staff and subcontractors. But growth never came at the cost of culture. As Tristan puts it, “The one thing that has set the company apart from its competition is that it has remained an entirely people-centric business, whether this be with its staff or clients.”
Today, Vision Systems is a nationwide leader in integrated security, ICT/data services, and electrical systems, with branches spanning from Auckland, Wellington, and Christchurch. Their core clients operate within the commercial sector, which include national operating clients, large-scale construction, multi-tenanted sites, education providers, and government departments.
The part they’re most proud of? Their clients choose Vision Systems for more than technical expertise. They choose them for long-term relationships, deep customization, and an unwavering commitment to care.
That care is visible in how the team works too, and the values they live by:
These aren’t corporate slogans either. They were created by the staff themselves, and are kept alive through peer recognition, daily accountability, and from events like the annual Key Values Trip, a company-funded celebration for standout team members and their partners.
As Tristan says, “This understanding helps drive a culture where each staff member can be held to account by their peers, which has helped develop a fantastic culture throughout the company.”
By 2022, Vision Systems had outgrown more than just their office space. With growing numbers of employees and subcontractors operating across high-risk environments, they needed a health and safety system that could keep pace with the way they worked.
“Our previous H&S platform had become outdated, without investment or improvements in the later stages of using it,” says HR Manager Lou Cooper. “At a basic level it ticked the boxes, but did little else and certainly wasn’t a dynamic view of H&S.”
For Vision Systems, safety was deeply tied into their operations, reputation, and culture. But their old system lacked the visibility, agility, and depth they needed to support that.
“One of the biggest limitations was around a lack of reporting,” Lou adds. “It meant using secondary systems such as spreadsheets to keep track of data and highlight trends.”
Tristan Bailey, Business Director, knew the bar had to be higher:
“The Directors' biggest priority is ensuring that every team member goes home safe, every day. That makes a strong safety culture non-negotiable.”
Instead of just logging forms, the team needed a platform that empowered people to spot risks, surface trends, and engage in real-time safety conversations. Because for Vision Systems, safe work is about building a culture where everyone owns the outcome.
“We look for a safety program that’s active, measurable, and embedded,” says Tristan. “That means clear reporting, real-time visibility of risks, and regular audits. Not just paperwork.”
That’s what led them to Site App Pro. During a broader technology review, Vision Systems was introduced to a new option that offered flexibility, integration, and the depth of visibility they were missing. And it didn’t just promise a smarter way to deal with compliance, it promised control.
When Vision Systems began upgrading several of their business systems in 2022, health and safety wasn’t initially the primary focus. But as they reviewed internal workflows, it became clear their current H&S platform simply wasn’t pulling its weight, especially when measured against the company’s safety KPIs and performance expectations.
Initially, they considered using SimPRO’s internal audit mechanisms to capture safety data. But it didn’t take long to realise it wasn’t going to cut it.
“In the early stages we believed we could use SimPRO’s internal audit mechanisms to capture safety information,” explains Lou. “But that was quickly shown to be too limiting for our business safety objectives and KPIs.”
They were after a specific safety management platform that could keep up with their wider ambitions, one that could integrate, adapt, and engage their team without adding unnecessary overhead.
That’s when SimPRO referred them to Site App Pro.
“They advised that their H&S partner Site App Pro would be better able to meet our requirements and already had an API to the system, which dramatically reduced the amount of data entry (double handling) between platforms.”
The setup was quick, the training was straightforward, and unlike many technology transitions, there was “essentially no downtime.”
From day one, Vision Systems had a platform that worked the way they did: integrated, intuitive, and built for apprentices to managers, to leadership.
“Since then,” says Lou, “we’ve seen the changes that Site App Pro have introduced as only strengthening the platform in terms of engagement, ease of use, overall management and responsiveness at all levels.”
Before Site App Pro, Vision Systems had safety processes, but the lack of visibility made it hard to tell how well those processes were working. Forms were being filled out, but leadership couldn’t always see what was happening on-site until long after the fact.
That meant risks weren’t always flagged in time, opportunities for improvement went unseen, and the team’s strong safety culture didn’t always show up in the data.
“The ability to document that focus is critical,” states Lou. “We now have an easy-to-use system where the staff have plenty of opportunity to suggest changes and improvements. We can see who is using the forms in real time. We can ask questions, and see elevated risks and hazards as staff report them.”
With Site App Pro, that real-time visibility became part of daily operations, not just something for audits or annual reviews. Managers can now monitor form activity live, review near-miss reports quickly, and make informed decisions based on accurate, up-to-date safety data.
“We can investigate accidents and near misses as they are reported,” Lou adds. “And we can easily share this information with our clients, as they are completed.”
From apprentices to project leads to clients, Site App Pro gives everyone a clear window into what’s happening and the power to act when it matters most.
One of the most valuable features for the team has been the ability to build and adapt their own safety forms. Rather than trying to work around a rigid system, they can now design forms that suit their worksite situations their crews face across electrical, ICT, security, and high-risk environments.
“Staff have plenty of opportunity to suggest changes and improvements,” Lou explains. “The system is easy to update, and that’s made a big difference in how engaged people are with it.”
Customizing forms has also allowed the team to fine-tune how they track performance, align safety processes with KPIs, and ensure compliance without creating extra admin.
Because the platform is intuitive and collaborative, change doesn’t just come from the top down. Team members across the business, from field to management, are empowered to contribute to how safety is done.
And that’s right in line with one of Vision Systems’ core values: Think outside the box, don’t just tick the box.
For Vision Systems, health and safety isn’t just about policies or paperwork, but rather a reflection of how they lead, how they care, and how they operate. As their team grew and their clients’ expectations evolved, they knew their systems had to keep up.
With Site App Pro, they found more than a modern safety platform, they found a system that matched their values. One that empowered people, removed friction, and turned real-time safety engagement into part of the daily rhythm.
“Safety is one big hill that your team must climb each day,” states Tristan Bailey. “Let Site App Pro help you by making it easier!”
From live visibility to smarter reporting, custom forms to shared accountability, Site App Pro has helped Vision Systems move from ticking boxes to building something more complex, yet simple. And the best part? The transition didn’t slow them down.
“It is an easy-to-use, engaging platform that staff have no trouble navigating,” says Lou. “The forms are highly customisable and we’ve been able to really dial into what we need to see as a business.”
But perhaps what’s most impressive is how seamlessly Site App Pro fits into a business already known for walking the talk. And not just with clients, but with its own people. At Vision Systems, culture isn’t a buzzword. It’s a daily practice. It shows up in the way they treat their team, live their values, and make space for safety to be shared amongst every team member.
We’re proud to play a small part in helping that culture thrive, and even prouder to support a business that proves you don’t have to choose between performance and people.
